Features

Every feature, explained.

What VectorInvoice does, in the order you meet it: a receipt comes in, the fields are read, the journal fills, and i.SAF, GPM311, FR0600 and FR0781 are prepared for you to review. You upload them yourself or submit via a secure VMI token connection where supported. Each feature names the plans that include it.

From the photo to the file

  1. ReceiptA photo or a PDF
  2. FieldsRead by Mistral OCR
  3. JournalAfter your approval
  4. DeclarationsYou review, then file
Example receipt. i.SAF, GPM311, FR0600 and FR0781 are prepared ready to submit. You review them first.

01 Capture

Snap a receipt. The fields fill themselves.

Photograph a receipt or add a PDF. VectorInvoice reads the seller, the date, the VAT and the total, so you check the result instead of typing it.

How it works

  1. Upload a photo, a scan or a PDF. On a phone the camera opens directly.
  2. Mistral OCR reads the document, and the period is set from the document date.
  3. Anything unclear waits in the review queue. You correct it, then approve.
Example receipt, not a real one. The four fields are read, the period comes from the receipt date, and the result waits for your approval.
  • Receipt reading with Mistral OCR

Text is read by Mistral OCR through Mistral's EU endpoint. The code refuses other Mistral hosts. PDF, JPG, PNG, WEBP and HEIC files up to 25 MB, with amounts kept in exact cents.

  • Period from the document date

The month comes from the date printed on the document, not from the day you uploaded it. If you set the period yourself, your choice stays.

  • Review and approval queue

Low confidence or a failed check marks a document for review. You see the original next to the fields, correct what is wrong and approve. The journal and the files read approved documents.

02 Books

A journal that keeps itself.

Every approved receipt becomes a journal line next to its original. From there you see a 30% figure next to your recorded costs, issue your own invoices and match bank payments. You decide which path to use.

Example journal line from the receipt above. The bars show both figures from your entries. You decide which path to use. They are not a tax figure.
  • Expense journal

A dated list of what you paid, each line linked to its receipt. Download it as CSV for your records or your accountant.

  • 30% flat expense or actual expenses

For individual activity, the app calculates a 30% figure from the income you entered and a figure from the expenses you recorded. Both amounts are shown. You decide which path to use. This is a calculation from your entries, not a recommendation or a tax assessment.

  • Issued sales invoices

Create numbered invoices with a PDF and an optional email. Type or dictate one sentence and the assistant drafts it for you to check. Invoices with VAT join the sales list for i.SAF.

  • Reconciliation

The check compares FR0600 boxes 29–31 with the VAT on your issued invoices and flags a difference. Import a bank CSV and the app suggests a match when one approved invoice has the same amount within seven days. You confirm it.

03 Declarations

Declarations prepared. Nothing sent without you.

i.SAF, GPM311, FR0600 and FR0781 are built from the documents you approved. You review every file. Nothing is sent without your approval. You upload the files yourself, or submit i.SAF directly via a secure VMI token connection where supported.

Submitting i.SAF

  1. Choose the period. The i.SAF 1.2 XML is built from approved purchase and sales invoices.
  2. Structure and schema checks run in the app. You can download the file.
  3. To submit, you sign in again and tick a confirmation. It is valid for 15 minutes and tied to that exact file.
  4. Direct i.SAF submission uses a secure VMI token connection where supported. You always confirm first. Other forms you download and upload yourself.
The files the app prepares, and the confirmation in front of an i.SAF submission. Direct send uses a secure VMI token connection where supported.
  • GPM311 annual declaration

The income and expense summary for the annual declaration is prepared from the journal, with its deadline. You review it, then upload it yourself. The app does not submit it.

  • i.SAF, with a guarded submit step

i.SAF XML for purchases and sales, checked in the app and ready to download. Submitting needs a fresh sign-in and a confirmation tied to the file. Direct submission uses a secure VMI token connection where supported; otherwise you upload the file yourself.

  • FR0600 VAT return draft

  • FR0781 refund request

When the FR0600 draft shows a refund, the app flags it and points to FR0781 as a separate request, prepared from records you already checked. You review it, then upload it yourself. It is never submitted automatically.

04 Team mode

One workspace for the whole team.

Employees photograph their own receipts. An admin reviews and approves them, and the accountant gets one download. On Standard each employee is €5.99 a month. Pro includes 2 employees, then €5.99 each. Basic does not include employees.

How it works

  1. The admin invites people by email, as a member or a reviewer.
  2. Members photograph receipts on their phones.
  3. The admin opens the original photo, then approves it or asks for changes. Several receipts can be approved at once.
  4. Approved receipts are downloaded as one ZIP for the accountant.
An admin invites the team, receipts wait in one queue, and the approved ones leave as a ZIP with the original photos.
  • Invites and roles

An admin invites members and reviewers, resends or revokes invites, and removes people. Team actions are written to an audit log.

06 Security and your data

Encrypted in layers. Yours to export or delete.

Each layer has its own key and its own job. You can download your data at any time, and every deletion asks for your password and a one-time email code.

Deleting data

  1. In Settings, choose what to delete: stored files, records, or the whole account.
  2. Enter your password and the one-time email code.
  3. Deleting the account destroys its data key, so leftover encrypted copies can no longer be opened.
Three layers with their own keys. The master key wraps each account's data key, and that key wraps each file key.
  • Layered encryption

Receipt files and personal and financial fields use AES-256-GCM. Each file has its own key, wrapped by your account's data key, which a master key wraps in turn. The data key is not derived from your password.
